1. Cancellation Policy

This Cancellation Policy applies to all bookings made directly with Local Lynx Travel LTD via our website.

1.1 Free Cancellation Period:

  • Cancellations made more than 72 hours (three full days) prior to the scheduled departure time of your tour will be eligible for a refund of 95% of the total booking cost.

1.2 No Refund Period:

  • Cancellations made within 72 hours (three full days) of the scheduled departure time of your tour are non-refundable.

1.3 Refund Process:

  • Refunds, where applicable, will be processed back to the original payment method used for the booking.
  • Please note that the 5% deduction from the refund for cancellations made within the free cancellation period covers non-recoverable fees charged by our booking software provider and our payment gateway.
  • The processing time for refunds may vary depending on your bank or payment provider.

1.4 How to Cancel:

  • To cancel your booking, please notify us in writing via email at [Insert Local Lynx Travel LTD's Customer Service Email Address]. Please include your booking reference number and the full name of the lead traveler.
  • The cancellation will be effective from the date and time the written notification is received by Local Lynx Travel LTD.

1.5 Amendments:

  • Requests for amendments to your booking (e.g., date changes, changes in the number of participants) are subject to availability and may incur additional charges. Please contact us as soon as possible if you wish to make an amendment. We will do our best to accommodate your request.

  • Marketing Communications (with consent): To send you promotional emails and information about our products and services, provided you have given your explicit consent during the booking process. You can unsubscribe from these communications at any time by following the instructions in the email.
  • Improving Our Services: To analyze website usage and feedback to improve our website, services, and customer experience.
  • Legal and Compliance: To comply with applicable laws, regulations, and legal processes.

2.3 Sharing Your Information:

We may share your personal information with the following parties:

  • African Lynx Travel Pty Ltd: We share your traveller details (full name, mobile number, email address, accommodation details, and dietary requirements) with our contracted South African tour operator to enable them to provide the tour services, including arranging guides, vehicles, and other logistical aspects.
  • Ticketing Hub: Your booking data, including personal information, is stored on the Ticketing Hub platform as our booking software provider.
  • Stripe: Your payment information is processed securely by Stripe. We do not directly store your full payment details.
  • Mailchimp: If you have consented to marketing communications, your email address will be stored and processed by Mailchimp for the purpose of sending you marketing emails.
  • Service Providers: We may use other third-party service providers who assist us with website hosting, data analysis, email delivery, and other business operations. These providers will have access to your personal information only to the extent necessary to perform their services and are obligated to1 protect your information.2
  • Legal Authorities: We may disclose your personal information to legal authorities if required by law or legal process.

3. Booking Terms and Conditions

These Booking Terms and Conditions govern the booking of private day tours offered by Local Lynx Travel LTD (referred to as "we," "us," or "our") through our website. By making a booking, you ("the customer" or "you") agree to be bound by these terms and conditions.

3.1 Booking Process:

  • All bookings are subject to availability and confirmation by Local Lynx Travel LTD.
  • To make a booking, you must follow the online booking process on our website, select your desired tour, date, and provide the required traveller details.
  • Once you have submitted your booking request and provided valid payment information, you will receive an automated booking confirmation email. This email confirms receipt of your booking request but does not constitute final confirmation of the tour.
  • Your booking is only confirmed when you receive a separate confirmation email from Local Lynx Travel LTD with the full details of your tour.
  • It is your responsibility to ensure that all information you provide during the booking process is accurate and complete.

3.2 Payment:

  • Full payment is required at the time of booking unless otherwise specified.
  • Payments are processed securely through our payment gateway,16 Stripe. We accept the payment methods indicated on our website.
  • All prices are displayed in the currency specified on our website and are inclusive of applicable taxes unless otherwise stated.

3.3 Tour Inclusions:

  • The specific inclusions of each tour are detailed on the relevant tour page on our website. Generally, this includes private transportation, a qualified guide provided by African Lynx Travel Pty Ltd, and any other items specifically mentioned in the tour description.
  • Unless explicitly stated, meals, beverages, entrance fees to attractions, and gratuities are not included in the tour price.

3.4 Tour Operation:

  • Local Lynx Travel LTD contracts the operation and delivery of the tours to African Lynx Travel Pty Ltd, a reputable South African tour operator.
  • While Local Lynx Travel LTD is responsible for the overall service delivery and handling customer complaints, the actual tour will be conducted by African Lynx Travel Pty Ltd, who will provide the guide, vehicle, and manage the on-the-ground arrangements.
  • We will use reasonable endeavours to ensure that your tour proceeds as described. However, we reserve the right to make changes to the itinerary, schedule, or inclusions due to unforeseen circumstances beyond our control, such as weather conditions, road closures, or other operational issues. We will inform you of any significant changes as soon as reasonably practicable.

3.5 Customer Conduct:

  • You are responsible for your behaviour and the behaviour of your party during the tour. We and our service providers reserve the right to refuse participation to anyone whose behaviour is disruptive, offensive, or poses a risk to the safety or enjoyment of others. In such cases, no refund will be provided.
  • You must comply with all instructions given by the tour guide and any applicable laws and regulations.

3.6 Liability:

  • Local Lynx Travel LTD accepts liability for the proper performance of the booking contract, subject to these terms and conditions and applicable law.
  • However, we shall not be liable for any loss, injury, damage, delay, or inconvenience caused by events beyond our reasonable control, including but not limited to acts of God, war, civil unrest, terrorism, natural disasters, accidents, road closures, or the actions of third parties not directly contracted by us.
  • Our liability to you shall not exceed the total price paid for the tour.
  • You are responsible for ensuring that you have adequate travel insurance to cover any potential risks, including but not limited to medical expenses, personal injury, loss of belongings, and cancellation or curtailment of your tour.

3.7 Complaints:

  • If you have any complaints about your tour, you should inform the tour guide or African Lynx Travel Pty Ltd representative as soon as possible so that they can attempt to resolve the issue on the spot.
  • If the issue is not resolved to your satisfaction during the tour, you should submit a written complaint to Local Lynx Travel LTD via email within 14 days of the end of your tour, providing full details of your complaint and any supporting evidence.
  • We will investigate your complaint and respond to you within a reasonable timeframe.

3.8 Governing Law and Jurisdiction:

  • These Booking Terms and Conditions are governed by and construed in accordance with the laws of England and Wales.
  • Any disputes arising out of or in connection17 with these terms and conditions shall be subject to the exclusive jurisdiction of the courts of England and Wales.18
